Minutes of the DMTF Board Meeting

May 1, 2003, DMTV Studios

In Attendance: Joanne Price, Connie Anderson, Pete Glaser, Nicole Holliday, Jack Batzler, Ingrid Hoffmeister,

Special Guest:  Chantelle Sicile-Kirra; Independent Producer and potential new board member.

Minutes approved from last meeting (4/3/03)

Finance report by Joanne Price: The accounting base is up to date. The tax returns are in good shape. The Profit and Loss sheet shows us to be on the same track as last year with the exception of the profit from Monte Carlo night last year.

Grant status: A significant amount of money for new grant applications is still available. There was a recently approved grant to Torrey Pines High School for $136.00, to be utilized by a Mr. Paul Martin (teacher) for production. Money matters then digressed a bit, with some discussion of how Ingrid has been successful in gaining additional donations (beyond Grant dollars) to do some of her projects.

May 12th Presentation to the City Council: The City budget review is coming up this month.  Pete will provide a four-minute update on the past history of shows done on DMTV, followed by a promo on “it takes a city to build a wall”.

Newcomer’s Day on May 6th: All Board Members stated their intentions to attend from 5:30 to 7:30 PM. Clips will be shown from many past shows.  Handouts will include a newsletter, membership form, and Adelphia TV guide.

Database management: Pete showed an example on how the application “File Maker” can be employed for keeping the database.  Its strength is the ability to do many cross references and special sorts within the database. Pete met with Dick Travis, a candidate to maintain the database, but another candidate may also be considered. Discussion on paying for database management ensued. The decision was made to pay (a nominal $50.00/month) to the maintainer for set up, update maintenance, and mailings. The final selection for maintainer is pending a look at another candidate.

Fund Raising update: There was discussion on the layout and contents of a proposed brochure for soliciting donations. Two brochures were preferred – one that is “elegant” for the potential top dollar contributors, and another lesser one.  The layout remains to be decided upon.  Ingrid has the cost information to do the brochures, but content, including photos and art work remains to be decided.  Nicole handed out a sheet on candidate levels of contribution.  Our theme for fund raising remains “Building Community Through Communication”.  It was agreed that the Fund Raising Committee would meet again at Nicole’s house on Tuesday, 13 May at 4:00PM.

DMTF Productions Status: There is a live show done at the Belly Up Tavern in Solana Beach, and “Lagoon Days at the Powerhouse”, that are both in editing at this time.  Ingrid distributed a handout on the Unveiling of Payasada Horse Play, May 8th at 5:30PM in the evening at the Del Mar Plaza, which will be covered by DMTF Productions. The filming of programs for kids at the library is planned in June. Some new shootings are on tap for the future-stay tuned.

Website Upgrades: Philippe Lamoise has for action. (he was not present) They are currently completing a total of 10 streaming video shows. The Mayor of Del Mar has asked if they can put all the council meetings on the website.  It is proposed that they pay for the cost of this production (approximately $100-200 per meeting). DMTF will pay for hosting them on the website.

It was proposed and passed that we pay Joanne Price for maintaining the financial statements.  Fifty dollars per month was proposed.

One additional item mentioned was that we have contest entry videos in the Del Mar Fair and the National Home Town Video series.
